How to tailor an executive assistant resume to the job

Executive assistant posts are about trust and range. They want to know whose time you managed, how senior they were, and what you took off their plate.

What executive assistant posts usually ask for

Not every post asks for all of these, and the order changes. Check which ones the post you're applying to lists first or repeats.

  • Seniority supported. CEO, a leadership team, a founder.
  • Complex calendar and travel. International travel, board meetings, time zones.
  • Projects. Events, offsites, special projects you ran.
  • Communication on their behalf. Drafting, gatekeeping, handling requests.
  • Discretion. Board materials, personnel matters, confidential information.

What to put first

Lead with the executive you supported and the projects you ran, not the routine tasks.

A tailored line, before and after

Before: Executive assistant to the CEO. Managed calendar, emails and travel. Organized events.

After: Executive assistant to the CEO, running the CEO's calendar across four time zones and planning the annual 200-person leadership offsite.

The time zones and offsite size were in the person's original resume under "events". The rewrite leads with them because the post asked for event and travel experience. This is an invented example.

Gaps, and how to handle them honestly

  • Board support. If you haven't supported a board, describe the closest senior meetings you prepared.
  • Personal assistant tasks. Some posts include them. Say what you did, not what you'd be willing to do.

Posts often list more than the job needs. If you clearly show most of the main requirements, it's usually worth applying.

Wording that often appears in these posts

Use these where they describe what you've actually done, in sentences about that work. A list of terms you can't back up reads badly to recruiters, and they ask about every line in an interview.

Tailor yours to a real post

Paste the post you're applying to, and cvagent.ai lists what it asks for, marks which of those your resume shows, and rewrites your resume for it using only what's in your resume. Every change is shown next to your original, and anything it can't trace back to your resume is flagged. Or start with the free resume check, which needs no account and saves nothing.
